When setting up your account, you will be asked to contact various departments to collect information and implement actions necessary for deployment. Here we list the departments to contact and their role in the deployment of Supermood.

In this article:

☑️ Retrieving your employee database

Your employee database is the list (in Excel format) of all employees within your company with :

  • their contact information (first name, last name, email, phone number, etc.),

  • their demographic characteristics (date of birth, gender, etc.),

  • and their organizational characteristics (department, service, job, etc.).

This information will allow you to send surveys, filter results according to different criteria (department, seniority, etc.), and give access to specific perimeters.

To retrieve this information, ask the person responsible for your payroll software or your human resources management information system (HRIS).

The person responsible for your HRIS or payroll software will be involved throughout the Supermood project to assist you with:

  • the construction of your employee database

☑️ Filling in the contact details of your DPO on Supermood

In compliance with the General Data Protection Regulation (GDPR), employees have the right to have their data processed by Supermood erased.

As Supermood is not the data controller, we may need to contact your Data Protection Officer (DPO) to validate any requests for withdrawal of consent or deletion of responses from your employees.

Go to My account > Settings > Security settings and fill in their email address in the dedicated field.

ℹ️If your DPO wants to know a little more about how Supermood works, you can :

☑️ Approving emails and URLs from Supermood

To ensure that you receive emails from Supermood, and that reports are displayed and downloaded correctly, it is essential that you whitelist our emails and URLs.

Contact the IT department and provide them with the Whitelisting article containing details of all emails and URLs to be approved.

☑️ Finding volunteers for a test survey

In order to verify that the Whitelisting has been done correctly, you will create and send a test survey from the platform (in step 2). You will need a few volunteers to take the survey and check that everything works well.

List 5 to 10 testers in an Excel file with the following information: first name, last name, email address, and language.

Depending on how your surveys are communicated, you may also want to include a personal identifier and/or a telephone number.
